Corporate event vendor checklist for Accra: venue, AV, catering, staffing

A procurement checklist for corporate events in Accra: which vendors to book, in what order, realistic budget ranges, and how to compare quotes without a dozen phone calls.

By Edwadzi Editorial

Corporate events in Accra fail in predictable ways: the projector that does not match the laptop, the caterer who planned for 120 when registration hit 180, the branded backdrop that arrived after the photographs were taken. Almost all of it comes down to vendor procurement, and procurement is a checklist problem. This is the list, in the order the decisions have to be made, with budget ranges for Accra in 2026.

Eight weeks out: the venue

Everything else depends on the room, so book it first. For a conference, product launch, end-of-year dinner, or awards night in Accra you are choosing between hotel function rooms (Airport Residential, Ridge, Cantonments, Labadi), standalone event centres, and rooftop or garden venues for evening events. Hotel packages commonly run GHS 15,000 to GHS 80,000 and bundle basic AV, some catering, and setup; standalone halls run GHS 5,000 to GHS 25,000 for the room alone, and you bring every other vendor in yourself. Confirm parking, generator backup, the loading route for AV, and whether the venue insists on its own caterer before you sign. Compare venues in Accra by capacity and starting price.

Six weeks out: AV, staging, and rentals

Unless the venue is a hotel with an in-house team, you will hire sound, projection, lighting, and staging separately. For a 150 to 300 person conference expect GHS 8,000 to GHS 30,000 depending on whether you need an LED wall, a stage with a lectern, wireless lapel mics for panels, and a technician for the full day. Send your slide format, video files, and run of show a week ahead, and ask for a technical rehearsal on the morning. If the room is bare, chairs, tables, linen, and canopies for outdoor overflow come from a rentals company and typically add GHS 3,000 to GHS 12,000.

Six weeks out: catering

Corporate catering in Accra runs GHS 60 to GHS 200 per head for a plated lunch or dinner and GHS 25 to GHS 60 per head for tea breaks and canapés. The mistake is not price, it is head count. Take your registration number, add the vendors and staff on site, add 15 percent for walk-ins and plus-ones, and give the caterer that figure in writing 72 hours before. Ask for a tasting on anything above 100 covers. Shortlist corporate caterers in Accra and ask each for a per-head price at two head counts, so you can see how the price moves.

Four weeks out: MC, photography, and video

A corporate MC keeps a programme to time in a way an internal host rarely can, and handles the awkward gaps. Budget GHS 3,000 to GHS 7,000 for an experienced one; see the DJ and MC guide for what a quote should include. For photography, a corporate day rate in Accra runs GHS 2,500 to GHS 8,000 with edited images inside a week; add GHS 5,000 to GHS 15,000 for a videographer producing a highlight reel for social and a full recording of keynotes. Brief both on the shot list: sponsor logos, the leadership on stage, branded moments, and the room full rather than the room empty. Compare photographers and videographers in Accra on portfolio depth for events like yours, not weddings.

Four weeks out: branding and print

Backdrops, roll-up banners, name badges, printed programmes, and signage need a designer and a printer, and a week of lead time each. A graphic designer will typically charge GHS 1,000 to GHS 5,000 for an event identity pack; print for a 200-person event runs GHS 2,000 to GHS 10,000 depending on backdrop size and badge quality. Sign off artwork ten days out, not three.

Three weeks out: ushers, security, and transport

Registration desks, guiding guests to seats, and managing the buffet queue are usher work; a crew of four to eight for a day costs GHS 1,500 to GHS 5,000 through an ushering agency. For events with senior guests, valuable equipment, or alcohol, a small security detail runs GHS 1,500 to GHS 6,000. If you are moving delegates between a hotel and the venue, or picking up speakers from Kotoka, book transport early enough to confirm vehicle condition, not the night before.

Budget shape for a 200-person Accra conference

  • Venue: GHS 15,000 to GHS 40,000
  • AV and staging: GHS 10,000 to GHS 25,000
  • Catering (lunch plus two breaks): GHS 20,000 to GHS 50,000
  • MC, photo, video: GHS 10,000 to GHS 25,000
  • Design and print: GHS 3,000 to GHS 12,000
  • Ushers, security, transport: GHS 4,000 to GHS 15,000

That is GHS 62,000 to GHS 167,000 before speakers, gifts, and contingency. Hold 10 percent back as contingency and do not tell the vendors it exists.

How to run procurement without the phone calls

  1. Write a one-page brief per category: date, venue, head count, hours, and the three things that matter most.
  2. Request quotes from three vendors per category on Edwadzi, with the brief attached, and insist on itemised line items.
  3. Compare on scope and inclusions, not the total. A cheaper AV quote with no technician on site is not cheaper.
  4. Accept the quote and pay the deposit through the platform, so the scope you agreed is the scope on record and the payment schedule is fixed.
  5. Confirm every vendor by phone the week of the event, and give each one the name and number of a single on-site contact.

If you need to sell seats to the event itself, whether a paid conference or an awards dinner with tables, the online ticketing guide covers tiers, fees, and check-in.
